What to look for in escape room software
Based on running activity venues and talking to escape room operators, here's what actually matters:
- Group booking flow: Escape rooms are group experiences. Your software should handle one person booking for a group, with individual waiver signing.
- Waiver integration: Every participant needs a signed waiver. It should happen during booking or before arrival, not at the door.
- Session management: Room-based scheduling with buffer time. Real-time availability. Prevent double-booking across rooms.
- Walk-in support: Not everyone books ahead. Your POS should handle walk-ins with on-site waiver signing.
- Mobile speed: Guests book on their phones. If your booking flow is slow there, they book a competitor.
- Transparent pricing: Understand the full cost upfront. Ask about per-booking fees, monthly minimums, and long-term contracts.

What operators ask before they switch.

It has to collect a signed waiver from every player, not just the person who paid. The practical test is whether a group of eight can arrive with eight signatures already on file. wakesys sends one claim link to the booker, each player signs on their own phone, and staff see a green dot per player on the manifest.
